Our portfolio carries several cancellation families. Each home is assigned to one based on its destination, the typical length of a stay there, and the operating model behind the property. There is no single rule that fits every home, and there is no need to learn the families by heart.

Long-stay structure
Stays of 28 nights or longer in the California desert carry their own payment cadence and a refundable utility deposit.
For these reservations, payment is split across two non-refundable installments timed to arrival. The cancellation calendar and the payment calendar are the same calendar, which is why long-stay desert is the only family where the timing language and the payment language overlap.
Payment cadence
- Fifty percent of the reservation is due 90 days before arrival and becomes non-refundable once paid.
- The final fifty percent is due 60 days before arrival and becomes non-refundable once paid.
- Reservations made inside 90 days are due in full at booking and follow the same non-refundable structure once paid.
Utility deposit and credit
The published terms require a $2,000 refundable utility deposit for long-stay desert reservations. Guests receive a $500 utility credit included with the stay. Gas and electricity above $500 total per month may be charged against the deposit. The remaining deposit is returned after the post-stay reconciliation.
Why this is separate
Long desert summers carry meaningful utility loads, especially when guests run pool heating or air-conditioning at extended hours. The utility deposit keeps the cost of those choices on the guest who made them, instead of socializing it across all owners on the platform.
Trip insurance
Trip protection changes the conversation when plans move late.
Everyday Luxury works with Rental Guardian to offer optional trip insurance and a cancel-for-any-reason waiver. When the waiver is purchased at the time of booking, it can extend cancellation flexibility up to 48 hours before check-in.
Without trip insurance, the cancellation family of the booked home governs. Coverage purchased after booking will not retroactively change the policy that applies if you need to cancel.

Important
Trip insurance is optional, not automatic. The waiver does not appear on a reservation unless it was added at the moment of booking and confirmed in writing.
Refund mechanics
What is refundable, what is not, and how the figures are calculated.
The reservation total
Refunded according to the cancellation family of the booked home. The booking confirmation breaks the total into nightly rate, cleaning fee, and any taxes or service charges. Each line is treated according to the rules of the family.
Cleaning fee
Refundable only inside the windows specified by each family. For example, the 90/60 standard family limits cleaning-fee refunds to cancellations within 60 days of arrival. The 60/30 family limits them to cancellations within 30 days.
Credit-card processing fee
The credit-card processing fee, typically around three percent of the total, is captured by the card network at the moment of payment and is not refunded once the booking is captured. Some families call this out explicitly in the timing language.
Deposits
Security deposits and the long-stay utility deposit are reconciled against the post-stay inspection and the utility ledger. The remainder returns to the original payment method after reconciliation.
Settlement timing
When a refund is approved, it returns to the original payment method. Bank settlement timing is set by the issuing bank and typically lands within five to ten business days.
Conditions beyond our control
Some interruptions move the day, not the contract.
Refunds are not issued for events outside our control. The published terms cover this in two ways: events that affect the area around the home, and events that affect a system inside the home.
Area conditions
- Weather, road conditions, snow, power outages, forest fires, wildfire smoke, and air-quality alerts.
- Construction or city work near the home, whether by a city department or a neighbour. We do our best to inform guests in advance when we know about scheduled work; sudden issues are a normal part of life on a street.
- Public events and the elevated traffic, parking, or noise that follow them, including Coachella, Stagecoach, the BNP Paribas Open, and similar events that lift the energy of an entire valley.
- Utility interruptions caused by the providing utility, whether municipal or private.
System failures inside the home
System failures, including cable, internet, satellite, streaming, HVAC, pool, and spa, do not refund the stay on their own. We will make a reasonable effort to repair or replace, and the published terms require notification to the office during the stay so we have time to act.
If the home itself becomes unavailable
If the booked home becomes unavailable for reasons beyond our control, we may substitute a comparable property or cancel and refund the payments made by the guest. The substitution is offered first when one is available; the refund is the fallback.
Pool and spa heating
If the booked home includes a pool or spa, heating is on demand. Pool heating commonly ranges from $100 to $250, may not exceed 83 degrees, and should never be altered directly by guests. Ask the office to set it before arrival.
Process
Cancellations are processed in writing by the guest of record.
The cancellation request
To cancel, the guest of record sends a written notice to the office at [email protected] with the reservation confirmation number. We confirm receipt and the resulting refund in writing within one business day.
Communication of record
Phone calls are followed by a written confirmation so the record is complete. Email and SMS replies from the guest of record form part of the binding written record. Verbal conversations are not the cancellation itself; the written notice is.
Trip-insurance claims
If trip insurance was purchased at booking, claims are handled by Rental Guardian directly at +1 (888) 885-5550. The carrier's claim procedure governs. We will share the relevant reservation documentation with the carrier on request from the guest.
Third-party platform bookings
If the reservation was made through a third-party platform, the cancellation is initiated inside that platform's reservation tools and the platform's policy display governs. The team can answer questions, but the cancellation itself is processed by the platform.
Updates & versioning
This page is the canonical source. The version in force at booking governs the stay.
This page is updated whenever the cancellation terms change. The effective date in the hero meta line shows when the current language took effect. Any inline reference on the Terms of Service page or in marketing copy mirrors this page; if the two ever differ, this page governs.
